MRPeasy’s AI Assistant Can Now Answer Questions Using Your Data

The manufacturing ERP system’s AI assistant, Mr. Peasy, can now be given permission to access your operational data to answer questions and perform analytics. Here’s what this means and how your data is used if you enable access.

Mr. Peasy, the AI assistant built into the MRPeasy manufacturing ERP software, can now answer questions using operational data from your account. When an account administrator enables read-only data access, employees can ask Mr. Peasy questions and receive answers based on the operational data available to their MRPeasy users.

Until now, Mr. Peasy has helped users by drawing on the MRPeasy knowledge base. The new capability makes the assistant more useful in day-to-day work. Instead of only explaining how a feature works, Mr. Peasy can now help users find, analyze, visualize, and understand information in their account.

Two data access modes

To ensure that our clients have total control over their data and its privacy, Mr. Peasy now has two operating modes, which account administrators can select in Support → AI assistant:

• Data access: Off
• Data access: Read only

Data access is switched off by default. It becomes available only after an account administrator deliberately enables it, and the administrator can switch it off again at any time.

Data access: Off

When data access is off, users can utilize the AI assistant on any page in the app. In this mode, Mr. Peasy is limited to answering questions using its knowledge base and limited contextual information, such as which page the user currently has open.

With data access off, Mr. Peasy cannot view the account’s operational data. It can explain MRPeasy’s workflows, features, and terminology in general terms, but its answers are not based on its orders, products, inventory, suppliers, or other business records.

Data access: Read only

When an administrator enables read-only access to the company’s data, Mr. Peasy can look at the data that the current user is authorized to see. This allows the assistant to answer account-specific questions and help users find information without having to manually navigate multiple reports or records.

Mr. Peasy follows the same user permissions as the person asking the question. Therefore, users cannot use the assistant to access information that they would not otherwise be permitted to see in MRPeasy.

The assistant’s data-querying capabilities are comparable to those available through the MRPeasy API. Access is strictly read-only: Mr. Peasy can retrieve and explain information, but it cannot create, edit, delete, approve, or otherwise change any records. A third operating mode capable of making changes is planned for the future.

Giving Mr. Peasy read-only access to your operational data helps users find information faster and makes MRPeasy easier to use. Instead of opening several modules, applying filters, and manually comparing records, users can just ask a question and get an answer based on the data they are authorized to view.

This can reduce the time spent searching through records and compiling basic operational information. It can also help occasional users and new employees access relevant data without needing to know exactly where every report, filter, or field is located.

Importantly, Mr. Peasy can now analyze your data to generate reports, tables, and charts, allowing you to collate and visualize any kind of operational data simply by asking the AI assistant. This means that if you give Mr. Peasy access to your data, you gain a powerful tool that can perform advanced analytics for your business. The tables created by the AI assistant can also be exported in CSV or PDF format for external use.

Designed with privacy as a priority

MRPeasy has added safeguards to limit the information sent to the external AI service.

Before a request is sent, the names of customers, suppliers, products, employees, and similar records are replaced with random identifiers. The AI service receives these random codes rather than the actual names. MRPeasy then converts the codes back into the correct names when displaying the answer to the user.

As a result, users see recognizable names in Mr. Peasy’s answers, while those names do not leave the MRPeasy environment.

Mr. Peasy is powered by Google Gemini, which MRPeasy accesses through a commercial API license. Under the terms of the Gemini API, prompts and responses are not used to train Google’s models or develop its products. Messages are retained for a limited period only to detect misuse and meet legal obligations.
