Overview of MRPeasy

MRPeasy is suitable for both make-to-stock and make-to-order production.

The program is divided into eight main sections:

Play with demo data

MRPeasy comes preloaded with a sample dataset. By playing with this demo data, you can explore the system and understand how it works, without needing to set anything up.

  1. You can explore three different demo datasets, all of which can be loaded from the Demo data and videos section.
  2. The default dataset is the simplest, and is based on a company that produces a basic product - a Wooden Table:
    • The wooden table has a simple BOM: table legs, a table top, and varnish. These are separate items with their own vendors, lead times, and prices.
    • The wooden table is produced in two steps: Assembly and Painting. Each step has an assigned workstation, duration, and cost.
  3. You can see how the system lets you buy parts by creating a Purchase Order.
  4. You can produce tables from available parts by creating a Manufacturing Order.
  5. You can see how the system lets you sell products by creating a Customer Order.
  6. You can clear and re-upload demo data in the Demo data and videos section.
  7. Watch the demonstration videos to learn more about how the software works.
  8. Follow the Testing manual to be guided through important workflows when using the demo dataset.

Prepare a test task

Once you're ready to start testing with your own data, follow these steps:

  1. Clear all demo data from your database under Settings -> Database maintenance.
  2. Add other users who will test the system under Settings -> Human resources.
  3. Enter a simple test task. Make sure to:

Enter your parts and products

At Stock -> Items, enter your items in the following order:

  1. The parts and materials you buy.
    • For procured items, add the Purchase Terms to define the vendor(s), cost, and lead time.
  2. The products you make.

Plan and report production

To make new products, go to Production planning -> Manufacturing orders, and create a new Manufacturing Order (MO).

  • You can view your production progress and usage of materials from stock by clicking Go to production inside the MO.
  • Products are counted into stock once the MO is finished.
  • You can add new users and give them rights to My Production Plan or the Internet kiosk. This allows other users to log in and report production in real time.

Make-to-stock (MTS) manufacturing

In make-to-stock manufacturing, production is planned before customer orders arrive.

When making to stock, there are several ways of creating a Manufacturing Order (MO):

  • Add a new MO under Production planning -> Manufacturing orders.
  • Assign a Reorder Point (ROP) for each item (the ROP can be set to 0). When stock falls below the ROP, you can create a Manufacturing Order under Stock -> Critical on-hand .
  • Create an MO under Procurement -> Forecasting function.

Make-to-order (MTO) manufacturing

In make-to-order manufacturing, production is planned after you receive a sales order (referred to as a Customer Order (CO) in MRPeasy).

  1. Add a new CO under CRM -> Customer Orders.
  2. After saving the CO, you can estimate costs and delivery dates.
  3. When you are ready to start planning production, you can:

Buy parts and materials

You can order parts and materials from a vendor by creating a Purchase Order (PO) under Procurement -> Purchase Orders

After receiving items from a vendor, mark the PO as received, and the ordered items will be placed into stock.

Low inventory alerts

MRPeasy provides two reports that show which items need to be ordered. This makes it easy to know which Purchase Orders you need to create. You can find these reports under:

  1. Procurement -> Requirements. 
    • Shows items missing from specific sales and manufacturing orders.
  2. Procurement -> Procurement Critical on-hand. 
    • Shows items whose available quantity is below their Reorder point (ROP).

MRPeasy automatically generates these reports based on the information from stock, customer orders, and manufacturing orders.

  • If parts are missing for an MO, demand is generated automatically.
  • If products are missing for a CO, demand is generated after you try to book them.

Sell products

To enter a new sales order, create a new Customer Order (CO) under CRM -> Customer Orders.

In MRPeasy, the CO is the core document used for tracking a sale from quotation to delivery. It’s used to:

  • Create quotations, order confirmations, or invoices.
  • Estimate costs and dates.
  • Book products for the CO.
    • Booking reserves specific items for an order.
    • Items can be reserved from current stock or from planned supply (e.g., reserved from a future PO or MO).
    • If items are unavailable, the system automatically creates demand for them.
  • Track payments.
  • Create shipments and waybills, and pick products to remove them from stock.

Stock management

The Stock -> Items provides a detailed overview of your stock. It distinguishes between:

  • In stock vs Expected quantities.
  • Available vs Booked (i.e., reserved) quantities.

Inventory transactions are automatically made when users with different roles (e.g., sales, production, procurement) report their actions.

  1. Items must be booked before they can be used in production.
